Workspaces

Understand institution workspaces in Taifa Mail and how they isolate domains, mailboxes, staff, and logs.

A workspace is the top-level container for one government institution. Domains, official mailboxes, API keys, contact lists, broadcasts, webhooks, and email logs all belong to exactly one workspace. Hosted mailbox mail is read in webmail, scoped to the institution's allocated mailboxes.

Your personal workspace

When you sign up, Taifa Mail asks whether you are setting up an institution, joining an existing institution, or helping as a developer or ICT officer. If no institution is selected yet, a personal workspace keeps your account usable until the official workspace is ready.

If you used Taifa Mail before institution workspaces existed, your account was migrated automatically. Existing domains, emails, keys, and other data now live in a workspace with you as the owner. Nothing was lost.

Why workspaces exist

Institution workspaces let you:

  • Keep institution data separate - one ministry, county, agency, or public institution cannot see another institution's domains, mailboxes, contacts, or logs.
  • Give staff the right access: invite Authorizing Officers, ICT administrators, Communications officers, and Officers without sharing a login. See Members & invites.
  • Delegate setup safely - invite an ICT officer or developer to complete DNS, API keys, webhooks, and test sends without handing over your password.

Switching workspaces

If you belong to more than one workspace, use the workspace switcher in the top-left of the dashboard to move between them. The active workspace determines which institution data you see and where new resources are created.

Your session always carries the active workspace, so API requests and the dashboard stay in sync. Switching is instant and does not log you out.

Workspace settings

Go to Settings to manage the current workspace:

  • Rename the institution
  • Upload an institution logo (PNG, JPG or SVG, up to 256 KB) - owners and admins only
  • Manage officers, staff, and setup invites

A workspace is the home for one institution's mail data. To leave a workspace you belong to, remove yourself from its member list. See Members & invites.
